The 2018 Annual Conference and Exhibition of the Mid-Atlantic Association of College & University Housing Officers (MACUHO) will be held this year at the Erie, Pennsylvania.  The conference will run Wednesday October 24, 2018 through Friday October 26, 2018.  Exhibits will take place on Thursday, October 25, 2018.

Approximately 300 professionals representing some 60 colleges and university housing and residence life programs from Pennsylvania, Delaware, Maryland, West Virginia, New Jersey and the District of Columbia will be in attendance.  Additional information concerning MACUHO may be viewed online at www.macuho.org.

Exhibitor registration is open and can be completed online.  Here is the link to Exhibitor Registration As part of the registration process you will be prompted to create a MACUHO account or log-in to your existing MACUHO account.

Booth Size

All booths will have a 10’ draped backing area, one trashcan, one skirted table and two chairs, and an Exhibitor name plate. Double booth will have two skirted table and four chairs.  Single and Double booths will have 3’draped side-rails.

Booth measurements and costs are as follows:

  • Single: 10’x10’ ; $875.00
  • Double: 10’ x 20’ ; $1,700.00

Electric can be selected for an additional charge during registration.  The charge per booth for electric is $25.00, which provides access to power throughout your time at the conference.

Shipping

When shipping materials, please have packages clearly labeled with the Event Name, Booth Number, Vendor Company Name and number of packages.  Items arriving on property more than (2) business days before the event start day will be subject to storage fees of $0.50 per nearest pound per day. Deliveries of over 100 pounds are subject to drayage fees regardless of delivery date. Any materials being shipped out after the conference must be scheduled prior to move out and labeled properly. Once the materials are ready for shipping, you may leave the items at your booth and a BCC team member will deliver them to our shipping area.

Conference Sponsorship

Traditional conference sponsorship opportunities remain and the Host 2018 committee welcomes your support for a number of events and activities at the conference.  This is an excellent way to enhance your name recognition with our delegates.  Your sponsorship of activities helps make the conference possible.  If you are interested in sponsoring, please use our Conference Sponsorship Site. Exhibitor Promotional Opportunities

As in previous years, we ask exhibitors for a small prize donation for a raffle conducted at the end of the conference.  All MACUHO conference delegates participate in the drawing.  Past donations have included imprinted promotional items (i.e. shirts, mugs), small gift certificates, or products (i.e. trials, samples, displays).  These items do not need to be mailed in advance and should be submitted during exhibitor check-in.  Please confirm during the registration process if you plan to participate in the Conference Raffle.

In addition, a Recognition Dinner is scheduled on Thursday (10/25/2018) 7:00 pm – 9:00 pm.  Tickets must be purchased separately for the Recognition Dinner.   For our Gold Corporate Partners, please consider joining us for the CHO/Vendor Reception and Recognition Dinner at the end of your exhibition day (by invitation only). 

After Registration

After you have completed the registration process, I will send you an exhibitor’s packet containing everything you will need to prepare for this year’s conference.  The following items will be included in the exhibitor’s packet:

  • Conference Overview and other special information for Exhibitors.
  • Hotel information for room reservation.
  • Exhibit Hall Blue print with booth configuration.

Cancellation / Refunds Policy

Though we hope to see you at the 2018 MACUHO Annual Conference we understand that life gets in the way.  With that said the cancellation and refund policy is as follows:

Should any situation arise to prevent the MACUHO conference from meeting, the organizers will not be held liable for any expenses incurred by the exhibitor, except for the received fee, which will be fully refunded. 

If an exhibitor cancels, the following shall apply:

To cancel a registration, a written request (e-mail is acceptable) must be sent to annualconference@macuho.org. Telephone requests will not be honored. Please allow 2-4 weeks for refunds to be completed.

  •  Refund requests received or postmarked before September 17th will receive a full refund less a $25 administrative fee.
  •  Refund requests received or postmarked between September 17th and October 7th will receive a refund equal to 50 percent of the appropriate registration fees.
  •  Refund requests received or postmarked on or after October 8th will not be honored.
